
Below is a Planned Maintenance Inspection guide that shows what steps we take in servicing and
repairing HVAC components for our customers. Feel free to use it as a
reference in comparing service levels.
Air Conditioning, Make Up Air, & Exhaust Equipment Checklist
A) Fall Heating Start-Up
- Confirm crankcase heater operation
- Check for oil or gas leaks
- Check and clean flame safeguard
- Inspect coil/spark/electrodes
- Confirm pilot operation
- Check primary & secondary air
- Change air filters
- Check drive belts and pulleys for wear
- Lubricate motors and bearings (if necessary)
- Check operating temperatures
- Check ventor motor controls
- Check burner and fan operation
B) Mid Season (twice per year)
- Check operating temperatures
- Check operating and safety controls
- Check oil level
- Check refrigerant charge (visual)
- Check evaporator & drain
- Check TX valve operation
- Change air filters
- Lubricate motors and bearings (if necessary)
- Heating
- Check flame safeguard
- Check ignition system
- Check pilot & main frame
- Check ventor motor
- Inspect electrical connections contactors, relays, & safety controls
- Check fan blades for cracks
C) Spring Cooling Start-Up
- Confirm crankcase heater operation
- Check compressor
- Check operating temperatures
- Check operating & safety controls
- Check heat exchanger for cracks
- Check compressor oil levels, and amperages
- Change air filters
- Clean condensate P-trap
- Check drive belts and pulleys for wear
- Lubricate motor and bearings (if necessary)
- Check refrigerant charge (visual)
- Check un-loader operation
- Check breeching & draft hood
D) Optional Annual Service
- Pump down efficiency test
- Compressor winding test
- Oil & refrigerant analysis
- Power wash condenser coil

Process Cooling Checklist
Computer Room Systems:
- Change air filters (4" - 40% efficient)
- Check airflow through floor
- Check refrigerant charge
- Check wet bulb temperature
- Check relative humidity
- Check superheat at TX valve
- Check drain pan
- Check operating voltage
- Clean sensors
- Lubricate motors and bearings
- Check crankcase heater
- Check evaporator coil
- Check dry bulb temperature
- Check condenser coil & fans
- Check condenser limit control
- Check glycol pump(s) & change over
- Check microprocessor control panel and control operation.
- Check Glycol consistency.
- Check with computer operator for any problems.
Air Cooled Condenser
- Check if 1st fan motor speed control (if applicable)
- Check operation of the fan motor stats
Dry Cooler
- Check pump operation
- Check water/glycol level in
- Check mixture
- Check for water leaks
- Verify pump control operation
- Check transformer
Optional Annual Service (recommended for older units)
- Pump down efficiency test
- Compressor winding test
- Data Guard III
- Oil and refrigerant analysis
- Power wash condenser and coil

Refrigeration Checklist
Refrigeration Equipment:
- Walk-in Coolers and Freezers
- Reach-in Coolers and Freezers
- Preparation Counters
- Ice-Makers
Semi-Annual Inspections
- Check and clean evaporator and condenser coils.
- Check defrost operation on freezers
- Check crankcase heater operation
- Check amperage draw on all motors and compressors
- Check water valve operation on water cooled units.
- Check hi-limit and low pressure controls
- Check low ambient controls
- Check freeze start controls
- Check temperature setting controls
- Check for oil leaks
- Check freon levels
- Check indicator lights and door seals.
- File report to customer detailing work done and recommend repairs or procedures.

General Checklist
Air Compressor:
- Drain receiver and check traps for reliable operation.
- Change oil, and eliminate any oil leaks.
- Check and adjust belts, align sheaves.
- Check and clean air intake filter.
- Check un-loader and check valve operation.
- Check PR station for correct adjustments.
- Check PRV valve.
- Check PE switch, starter connections, tighten connections as required.
- Wipe down and generally clean all surfaces.
Dryers:
- Check refrigerant head pressure.
- Check refrigerant suction pressure and temperatures.
- Clean condenser and cover screens.
- Check drain trap for trouble free operation.
- Wipe clean all exterior surfaces.
Reducing Stations:
- Change particulate filter.
- Change oil filter.
- Check PRV for correct setting.
- Check low pressure.
- Check valve setting and make sure by-pass is closed.
General:
- Review sequence of all control operations.
- Check and calibrate all room thermostats.
- Check and calibrate all fan room transmitters, actuators, static pressure controllers and controlled devices.
- Check all EP and PE switches.
- Check all dampers for free operation.
- Check all pilot positioners.
- Check and fix all air leaks.
- Check for any trace of moisture at low points in the pneumatic circuit

Loop Checklist
Boilers
- Check boiler bases for evidence of leakage and progressive corrosion.
- Check expansion tank, drain and recharge if system is water logged.
- Check and record all temperature and pressure gauge readings.
- Check operation of low safety controls.
- Check operation and settings of pressure regulating valves.
- Blow down boilers in accordance with manufacturers specifications.
- Check circulating pump seals, couplings, motors and lubricate same.
- Check radiator vents and complete written report.
Optional Extra - Summer Shut Down:
As above, plus:
- Clean combustion chamber.
- Brush out fire tubes.
- Check flue for reliable operation.
- Check and adjust burner and standing pilot as required.
- Do complete combustion gas analysis and complete written reports.
Domestic Hot Water Tanks
- Check burner assembly and flame
- Check pilot assembly
- Check power or gravity vent
- Check for water leaks
- Flush out appropriate amount of water for size of tank
- Visually inspect for turbidity in water
- Visual inspection of temperature and relief valve
- Visual inspection of anti-siphon valve
- Visual inspection of trap seal primer if applicable
Circulation Pumps
- Check pump seal for water leaks
- Lubricate bearings where applicable
- Visual inspection of operation
Cooling Tower:
- Flush tower
- Check belts & tighten
- Check nozzles
- Check sump screen
- Grease/oil motor bearings
- Check water quality & float level
